34th Annual Dinner of The Scottish Oil Club

The 34th Annual Dinner of the Scottish Oil Club is scheduled for Friday 3rd February, 2012 at the Edinburgh International Conference Centre, Edinburgh. This is on the eve of Scotland vs. England in a 6 Nations rugby clash at Murrayfield. Speakers for this event will be announced later this year.

The Board of Directors of the Scottish Oil Club have taken the opportunity to review the booking process, due to demand by members which has substantially exceeded supply of space. We hope that these improved rules will ease the booking process.

Costs

The cost of each seat at the dinner will be £120+VAT. Sponsorship for Corporate members is available at £750+VAT per member.

Booking Process

Bookings for this event are limited to members of the Scottish Oil Club. New membership must be established prior to making your booking. Existing members will renew their membership in July 2011 for the new season, as usual. See Membership for information about membership.

We will hold five tables for individual bookings.

Corporate Members are entitled to book one full table of ten (10) seats, or one-half a full table (5 seats). Half tables are noted in the published programme as hosted tables. Corporate members who chose to become Sponsors are eligible for early booking.

Individual members can book up to three (3) individual seats at the individual tables. Individual members are not eligible to book one-half or full tables.

Upon booking a table, you will be asked to pick your preferred table (from this web page) from those remaining at that time. We would appreciate quick action on this request to help the table assignment process to proceed easily and quickly.

There is a maximum of 50 tables of ten available for booking in the Sheraton's Edinburgh Suite. All tables are 5-feet in diameter and can seat up to 11 if the host prefers. Tables for twelve (which require a larger diameter table) are not available.

If there is sufficient demand and interest, we will again organise a second dining room adjacent to the Edinburgh Suite with an audio/video feed from the main room.

Sponsorship

Sponsors are able to book one full table prior to the start of open membership bookings, along with being entitled an advert page in the event's programme, invitation to the President's Reception, entitlement to book rooms out of the Club's limited allocation of over-night accommodation at the Sheraton, etc. The sponsorship fee does not cover the the costs of the table booking.

Sponsors who in at least one of the previous three years (2009, 2010, and/or 2010) had booked two tables are entitled to again book two tables. Sponsors who wish a second table and do not qualify under this "grandfather" rule can go on the waiting list to seek additional tables after the non-sponsored booking period has been open for at least 15 days.

Members who are sponsors and who are corporately affiliated with the principal guest speaker for the event are eligible to book up to two tables regardless of recent past history.

We will have a maximum of 30 sponsored tables. Once this threshold is reached no more sponsorships will be accepted.

All bookings are by email. No booking requests by phone, fax, or in person will be processed. We do not have a web page for taking your booking.

Start of Booking by Sponsors

Members can start their request to be a Sponsor and their table booking request by sending email to bookings@scottishoilclub.org.uk after 10:00 a.m. on Thursday April 21.

Start of Booking by Members

Corporate and Individual Members not choosing to be Sponsors can start their booking requests by sending email to bookings@scottishoilclub.org.uk after 10:00 a.m. on Thursday May 19.

How the Email Deadlines Will be Handled

Emails will be handled in order of receipt as recorded by the time stamp of receipt at the Club's internet service provider's inbound mail server. This timestamp is independent of when you send the email from your email client software (on your PC) and when we receive it in our email client software. Please be aware that with some corporate mail systems it can be a few minutes or more (sometimes much more) between the time the email leaves your desk and is delivered into the Internet for onward delivery. Emails time-stamped after this start time will be processed in the order received. Emails time-stamped before this start time will be processed that same day, but after processing all those received after the official start.

Booking requests must be by email. Bookings by fax, phone, voice, or other means will not be accepted.
