Bookings for the 41st Annual Dinner (2019)
The 41st Annual Dinner (2019) of the The Scottish Oil Club is planned for Friday, March 8, 2019 6:30 p.m. to 11:30 p.m. at the National Museum of Scotland.
Currently, there are there is 0 of 89 full tables available for new bookings of tables available to be booked. There are no individual seats available at this time.
Bookings commence in two tranches:
- Tranche 1. Thursday, May 17, 10:00 AM for Corporate Members wishing to be Sponsors to book up to three (3) full tables of 10 seats and arrange sponsorship at the same time. Corporate and Individual Members can book individual seats (maximum of 4 seats) also. Members can send request by sending email to firstname.lastname@example.org for arrival at or after the start of Tranche 1.
- Tranche 2. Thursday, June 7, 10:00 AM for Corporate Members to book a maximum of one full table 10 seats. Members can also book individual seats (maximum of 4 seats). Members can send their request by sending email to email@example.com for arrival at or after the start of Tranche 2.
The bookings will start as above. There will be no notices in email, Twitter, etc. to announce the start of bookings.
Please note, in fairness to all Members, the Scottish Oil Club cannot not accept "pre-emails" before the start date/time of each Tranche.
Sponsors can book up to three (3) tables, regardless of past booking history.
The Scottish Oil Club Annual Dinner is a members-only event. Membership is required to be established prior to making your booking request.
We plan to reply to all those who requested bookings that same day, starting in the afternoon. If you don't hear from us, then try again.
As the event is in the next season (2018-2019) of the The Scottish Oil Club, we will also invoice for membership renewal (July 1, 2018 midnight to June 30, 2019) for the new season at the time of booking. See Membership for information about membership.
Members who hold positions on the Club's Board of Directors are eligible to book tables or seats prior to both of the above tranches.
Corporate members not represented on the Board can indicate their plan to sponsor prior to the start of bookings and we will post that sponsorship on the web site at that time. Table picking will be as described above.

Costs and Cancellation
The cost of a corporate table of 10 seats is £1500.00. The cost of an individual seat is £125.00 (maximum of 4 seats). Corporate Sponsorship is £1500.00. VAT will be added to these costs on the invoice.
Bookings are non-refundable after Friday 2 November 2018.

All tables seat 10 people.
Corporate Members who are sponsors are entitled to book up to three full tables of 10 seats. Corporate members who chose to become Sponsors are eligible for early booking during the first tranche of booking.
We hold a few tables for individual bookings. Individual members can book up to 4 individual seats at the individual tables. Individual members are not eligible to book full tables.
Bookings are non-refundable after Friday 2 November 2018. We do this as re-selling the table is difficult if not impossible and we will have already made commitments to vendors.
All bookings are by email. No booking requests by phone, fax, or in person will be processed. We do not have a web page for taking your online booking. There is no web form to fill in. There will be no general announcement of "bookings open" at the appointed moment. Please do not use the contact us web site page for your booking--booking requests sent this way will not be processed because it is an insecure email as we can't really determine where the email originates.
Invoicing and Payments
Subsequent to booking a table, you will be sent the invoice. If your company requires that your invoice include any special details, e.g. Purchase or Requisition number, please provide that information in your email booking request. Only you know your own company's invoice-paying requirements.
We will return an Adobe PDF electronic version of the invoice to the person who made the booking for them to forward on their internal processing and payment. We prefer payments by bank transfer or cheque.
As the event is in the next season of the The Scottish Oil Club, we will also invoice for membership renewal for the new season at the time of booking. See Membership for information about membership.

Table assignments are made in order of booking timestamp; thus, you will be asked in this order to pick your preferred table (see this link) from those remaining at that time. As of 8th March 2019 13:05, there are there is 0 of 89 full tables available for new bookings of tables available to be booked. We would appreciate quick action on this request to help the table assignment process to proceed easily and quickly.
Sponsors are able to book up to three (3) tables during the booking Tranche 1, along with being entitled an advert page in the event's programme, and entitlement to book rooms out of the Club's limited allocation of over-night accommodation arranged for sponsors.
The fee for Corporate Sponsorship, in addition to costs for the table, is £1500.00. VAT will be added to these costs on the invoice.

How the Email Timestamps Will be Handled to Establish Booking Seriatim
Bookings for this event are often "brisk" and tables are often booked quickly. To help manage that process, we use the following process to handle booking emails.
Booking emails will be handled in order of receipt as recorded by the time stamp of receipt of the email at the The Scottish Oil Club's internet service provider's inbound mail server. This timestamp is independent of when you send the email from your email client software (on your PC or handheld device). This timestamp is also independent of when we receive it in our email client software.
This means: when you send your mail is not necessarily when timestamped at the ISP nor when we receive it. The time delay depends on many things, including your mail system.
We do it this way to minimise the risk of technical issues related with our receiving email which would jeopardise a fair and equitable booking process. We temporarily ignore any emails time-stamped before the start time, and we ignore any emails that you may have sent and are time-stamped after the one we select as your earliest time-stamped email.
Please be aware that with some corporate mail systems it can be a few minutes or more (sometimes much more!) between the time the email leaves your device and when it is delivered into the Internet for onward delivery to the The Scottish Oil Club. This is not something we can control or influence for you. Talk with your corporate IT department for possible solutions to ensure your mail goes through your systems in a timely manner. Emails time-stamped after the defined start time will be processed in the order received. Emails time-stamped before the start time will be processed that same day, but after processing all those received that day after the official start.
Booking requests must be by email. Bookings by fax, phone, voice, or other means are not be accepted (as this would impact the fairness of the emails sent by others).
